About the Client

North Brisbane Mortgage Brokers

North Brisbane Mortgage Brokers is a small, independent mobile brokerage based in Windsor, on Brisbane's northside. Founded by Jack McKenna, the business has earned a strong reputation for making the home loan process straightforward and genuinely stress-free, particularly for first home buyers navigating a complex market for the first time.

With access to a panel of up to 25 lenders, the team works across residential purchases, refinancing, investment loans, and land acquisitions. Jack and his team are mobile by design, meeting clients at a time and place that works for them rather than asking busy people to fit around traditional business hours.

Kelsey has been part of the team since early on, handling client communication, application coordination, and the day-to-day flow that keeps the brokerage running well. Together, Jack and Kelsey built a tight, client-focused operation with a reputation for personal service that clients consistently praised. The pressure they were feeling was not about quality. It was about capacity.

The Challenge

Growing a business while growing a family

As North Brisbane Mortgage Brokers continued to grow, the weight of administration behind each loan file was becoming harder to absorb. Every application brings with it a steady stream of document collection, lender communication, compliance requirements, status updates, and client queries. Each one is important. None can be left to chance. And in a small team, every hour spent on administrative tasks is an hour taken away from the conversations and relationships that actually grow the business.

Jack had started thinking about bringing on additional support, but a locally hired administrator came with a level of cost and commitment that was difficult to justify at the current stage of the business. He needed someone skilled and reliable, without the overhead that typically comes with expanding a small team in Australia.

There was another consideration, too. Jack and Kelsey were not just focused on growing the business. They were growing their family as well. The pressures of running a busy brokerage while navigating life at home made finding a sustainable way to scale the operation not just a business priority, but a personal one.

A Previous Experience

They had tried offshore staffing before. It did not go well.

Jack had looked at offshore staffing before. And like many small business owners who had tried it, the experience had not been a good one.

We had used another service previously and it was nothing like what we were promised. They actually specialised in offshore staffing for mortgage brokers specifically, so you would think that would mean they really understood what we needed. But even with that background, the experience fell well short. Someone was assigned to us with very little consultation about what we actually needed from our business, and the onboarding was essentially nonexistent. We were just expected to figure it out. The person we were given was not the right fit for the role and the whole thing created more work than it saved. After that we were pretty hesitant to go down that path again.

That hesitation was understandable. The offshore staffing industry has a well-documented problem with volume-driven placements where the focus is on filling a seat rather than finding the right person for a specific role. For a small business like North Brisbane Mortgage Brokers, where every team member genuinely matters, that kind of approach was simply not good enough.

When CMX Co was introduced to Jack, his initial reaction was scepticism. He had heard similar promises before. What changed his mind was not a sales pitch. It was the process.

Why CMX Co Was Different

Proper, professional recruitment from the very first conversation

From the very first conversation, the CMX Co team approached the engagement with a level of care and detail that immediately set it apart from what Jack had previously experienced. Rather than presenting a pool of available candidates, CMX took the time to understand the business properly. What did a typical day look like? What were the bottlenecks? Where was Jack's time being lost? What did Kelsey need to be able to hand off with confidence? What kind of person would fit into the culture of a small, client-focused, mobile brokerage?

Only once CMX had a clear and detailed picture of the business did the search for a candidate begin. The role was defined properly before anyone was recruited for it. That distinction mattered enormously.

The search itself was thorough and transparent. Jack was kept informed at every step, with clear communication about the candidates being considered, the criteria being applied, and the reasoning behind each recommendation. This was professional recruitment, with the same rigour you would expect from a quality hiring process for a local role, just without the local price tag.

When Shafiqah was presented as the recommended candidate, it was not a case of picking from a shortlist and hoping for the best. CMX could articulate clearly why she was the right person for this specific role, with the background, skills, and disposition to support a mortgage brokerage in the way Jack and Kelsey actually needed.

Onboarding Done Properly

Structured, supported, and nothing left to chance

Finding the right person was only part of it. What followed was an onboarding process that Jack and Kelsey describe as one of the most well-supported experiences they have had in building out their team. CMX guided the business through every stage of getting Shafiqah set up and integrated, covering not just the practical steps but the less obvious ones that small businesses often overlook when bringing on a remote team member.

01.

Role Clarity and Documentation

Before Shafiqah's first day, CMX worked with Jack and Kelsey to ensure the role was clearly documented. Responsibilities were defined, workflows were mapped, and expectations were set on both sides. Shafiqah arrived knowing exactly what she was there to do and how success would be measured.

02.

Technology and System Access

CMX provided hands-on assistance in setting up Shafiqah's access to the tools and systems she would need to operate effectively within the business. This was not left to Jack or Kelsey to work out on their own. The process was structured, guided, and completed properly before work began.

03.

Secure Access and Data Protection

Given the sensitive nature of mortgage applications, which involve personal financial information, identity documents, and confidential client data, security was non-negotiable. CMX helped establish secure, role-appropriate access protocols, ensuring Shafiqah could do her work effectively while client data remained protected at every point. Access was configured to meet the standards expected in a regulated financial services environment.

04.

Cultural Integration and Team Alignment

CMX did not treat the cultural side of onboarding as an afterthought. Jack and Kelsey were supported in understanding how to work effectively with a Malaysian team member, including communication styles, expectations around feedback, and how to build a genuinely collaborative working relationship across time zones. Shafiqah, in turn, was well prepared for the culture of an Australian small business.

The Placement

Meet Shafiqah

Shafiqah joined North Brisbane Mortgage Brokers as Mortgage Administration and Client Support Officer, based in Kuala Lumpur and working as a genuine member of the team from day one.

Her role covers both sides of the loan process. On the backend, she manages document collection and verification, prepares and organises loan files, liaises with lenders, tracks application milestones, and keeps the pipeline progressing. On the client-facing side, she handles enquiries, sends progress updates, and ensures that clients always know where their application is at and what is needed from them next.

She is not a general administrator. She was recruited specifically for a mortgage brokerage environment, and her ability to understand the loan lifecycle and communicate confidently with clients reflects that specificity.

The Impact

More time for clients, more time for family

The difference to the business became apparent quickly, and it has continued to build. Jack now spends significantly more of his time on the work that actually requires a broker. New client consultations, referral partner relationships, detailed needs analysis, and the kind of personalised guidance that has built North Brisbane Mortgage Brokers' reputation are all benefiting from an increase in his available attention.

For Kelsey, the change has been equally meaningful. She is no longer carrying the full weight of coordination alongside her other responsibilities. With Shafiqah owning specific steps in the process, Kelsey has a more sustainable workload and a stronger ability to focus on what she does best. The team dynamic has shifted from two people stretched across everything to three people each contributing where they are strongest.

Client experience has improved as a direct result. Communication is more consistent, turnaround is faster, and clients are kept informed without that falling entirely on Jack or Kelsey to manage between appointments. For clients going through what is often the biggest financial decision of their lives, that consistency matters.

And at a personal level, the change has given Jack and Kelsey something that is harder to quantify but no less real. The ability to be present for their families, to not carry the full weight of the business home every evening, and to feel confident that things are running properly even when they step back.

In Their Own Words

What Jack and Kelsey have to say

"After our first experience with offshore staffing I was ready to write the whole idea off. But what CMX did was completely different. They took the time to understand our business before they went looking for anyone, and when they found Shafiqah it was clear they had actually done the work to find the right person rather than just filling a spot. The onboarding was thorough, the security setup was handled properly, and Shafiqah came in ready to contribute from the start. The business is more efficient, I have more time for clients and for my family, and I feel like we have finally built the foundation to grow the way I always wanted to."

Jack McKenna Founder, North Brisbane Mortgage Brokers

"I will be honest, I had doubts. We had been through a poor experience before and I was not sure another offshore arrangement would be any different. But from the start, CMX was professional in a way that felt different. The recruitment process was proper. The onboarding was structured and supported. And Shafiqah herself has been brilliant. She understands the work, she communicates clearly with clients, and she cares about getting things right. It does not feel like working with someone offshore. It feels like working with a colleague who is simply in a different city."

Looking Ahead

A foundation built to grow

North Brisbane Mortgage Brokers is continuing to grow across Brisbane's northside, and the structure CMX Co has put in place gives Jack the confidence to take on more without compromising the quality of service that defines the business. As volumes increase, Shafiqah's role is expected to expand alongside them.

For CMX Co, this engagement represents what the model is built to achieve. A business that had been let down by offshore staffing in the past came in with justified scepticism, and left with a team member they trust, a process that was done properly from start to finish, and a business that is genuinely better for it.

Offshore staffing done right is not about finding the cheapest available person and calling it done. It is about understanding a business, recruiting specifically for what it needs, onboarding with care, and supporting the relationship over time. That is what CMX Co does.

Jack's FAQ

The questions Jack gets asked most about his CMX Co experience

Jack gets asked a lot of questions about how the CMX Co arrangement works. Here are the ones that come up most often, answered honestly from his own experience.

Is it actually possible to hire a mortgage administration person offshore without compromising client service?

Yes, and that was probably my biggest concern going in. Shafiqah handles a significant amount of our client communication and the feedback we get is consistently positive. Clients do not know she is based in Kuala Lumpur unless we tell them, and frankly it does not matter to them. What matters is that someone picks up their query quickly, keeps them informed, and makes the process feel easy. Shafiqah does all of that.

What happens to sensitive client data when a team member is based overseas?

This was non-negotiable for me. We are dealing with personal financial information, identity documents, tax records, and everything that goes along with a mortgage application. CMX helped us set up secure, role-appropriate access from the very beginning. Shafiqah only has access to what she needs to do her job, everything is protected properly, and the setup meets the standards you would expect in a financial services environment. I would not have proceeded if that had not been done correctly, and CMX made sure it was.

How is CMX Co different from other offshore staffing companies?

We had used another service before CMX and the experience was poor. Someone was assigned to us with very little consultation, the onboarding was essentially nonexistent, and the person was not right for the role. CMX did the opposite. They spent time understanding our business before they looked for anyone. The recruitment process was thorough and transparent. The onboarding was structured and genuinely supported. And the person they found was specifically suited to what we needed. It felt like proper professional recruitment, not just plugging a gap with whoever was available.

How long did it take to get Shafiqah up and running?

Faster than I expected. Because the onboarding was well structured and everything was set up properly before she started, she was contributing meaningfully very quickly. There was not a long settling-in period where we were carrying extra load. The preparation that CMX put in before day one made a real difference to how quickly we were able to hand things over with confidence.

Does the time zone difference between Queensland and Kuala Lumpur cause problems?

Not in practice. The overlap between Queensland and Kuala Lumpur business hours is very workable, and we have settled into a rhythm that works well for the team and for our clients. Shafiqah is available during our business hours, which is what matters most for a client-facing role.

Would you recommend CMX Co to another small business owner who has had a bad offshore experience before?

Absolutely, and that is exactly the person I would point to CMX first. I understand the scepticism because I had it myself. But the reason our first experience was poor was not because offshore staffing does not work. It was because it was done badly. CMX does it properly. The difference is significant. If you have been burned before, that is all the more reason to do it right the second time.

What kind of roles are suited to this model?

For us it was mortgage administration and client support, but I think any role that involves structured processes, clear communication, and tasks that do not physically require someone to be in the room is worth exploring. The key is that CMX takes the time to understand what you actually need before they start looking, which means the person you get is matched to the role rather than just available for it.

Has this changed the way you think about growing the business?

Completely. Before Shafiqah, every time I thought about taking on more clients I also had to think about how we would manage the additional workload with the same two people. Now I have a proper team structure. We can grow the client base without everything falling on Jack and Kelsey. And on a personal level, I can grow the business and still be present for my family. That was not something I thought was achievable twelve months ago.

What would you say to someone who is on the fence about trying CMX Co?

Have the first conversation. That is it. Go in with your questions, be upfront about what you need, and see how they approach it. The thing that won me over was that they listened before they did anything else. That told me a lot about how the rest of the process would go.

How did the interview process work, and how involved were you in choosing Shafiqah?

The process is straightforward and feels just like any other recruitment. CMX presents you with candidates and you interview them directly, one or more rounds depending on how the process goes. For me it was one interview with Shafiqah, and that was all it took. She was clearly the right person. Xavier from CMX joined the meeting as well, which was genuinely helpful. He had taken the time to properly understand what we needed from the role, so he was able to help guide the conversation and make sure the right questions were being asked. By the end of that one interview, I had everything I needed to make the decision with confidence. It is a proper, structured recruitment process where you are in control of who joins your team.

What does it cost, and are there any hidden surprises or confusing percentage calculations?

The cost structure is very transparent, which was one of the things that gave me confidence early on. Everything was laid out clearly from the start. There were no hidden fees that appeared down the track, no unexpected add-ons once we were underway, and no ambiguity about what we were paying for. For a small business owner who has to watch every dollar, that matters a lot. What I will say is that when you compare the cost to what it would take to hire someone locally for the same role, it is not a difficult decision. You are getting a skilled, dedicated person in your team at a fraction of what a local hire would cost, and the process you go through to get there is just as professional.
